What The Role Involves

As Program and Operations Coordinator, you will play a key role in ensuring the smooth execution of AWIU’s programs, events, grants, and internal operations. This is a support heavy role that touches nearly every part of how the organization runs day to day.

Event And Program Coordination: You will help manage registration platforms like Eventbrite, coordinate event logistics, gather speaker bios and photos, send mass emails, manage RSVPs, and assist with materials such as certificates and fact sheets.

Grant Administration: You will support the organization’s grant related processes, helping ensure programs and funding commitments run smoothly.

Sponsor, Donor, And Member Engagement: You will help maintain strong relationships with AWIU’s sponsors, donors, and members, supporting the organization’s broader community and fundraising efforts.

Communications And Publications: You will support AWIU’s website through coordination with the webmaster and assist with organizational communications more broadly.

Internal And Administrative Support: You will support the Executive Director with ad hoc tasks, prepare meeting materials and minutes for the Board of Directors, maintain key board documentation, schedule Zoom meetings, manage organizational email and mail, record and reconcile donations and vendor payments, and collect vendor documentation such as W9 forms.

Who AWIU Is Looking For

This role calls for someone who thrives on structure and can comfortably juggle multiple priorities at once. Ideal candidates bring:

  • Two to four years of experience in nonprofit administration, program coordination, or a similar role
  • Strong organizational and time management skills with real attention to detail
  • Proficiency in digital tools such as Mailchimp, Eventbrite, Monday.com, and Microsoft Office or Google Workspace
  • Experience with CRM systems, email marketing, or grant application platforms such as SmarterSelect is considered a plus
